Visible agent activity, a unified deadline calendar, smarter document requests, and AI categorization with human review

Four capabilities that tighten the everyday loop between staff, clients, and the assistant. The agents view makes AI activity transparent so nothing happens in a black box. The deadline calendar pulls together every detected and hand-entered deadline into one place. Document requests are clearer and more actionable on the client side, with re-request notifications keeping the chase honest. And AI-suggested bookkeeping categories stay proposals until a staff member confirms them, keeping the firm in control of the books.

A live view of what the assistant is doing

The agents panel shows current and recent assistant activity so the firm always knows what is running.

  • A dedicated agents view lists what the assistant is working on, what it has recently completed, and what is waiting for staff input.
  • Each activity entry names the client and the action, so nothing happens invisibly in the background.
  • Staff can see at a glance whether a categorization pass, a document match, or a follow-up draft is in progress or done.

One calendar for every client deadline

Detected deadlines and hand-added deadlines appear together on a single in-app calendar.

  • Deadlines picked up from emails, transcripts, and notes land on the calendar automatically after staff confirm them.
  • Staff can add deadlines by hand for any client, and those appear alongside the detected ones.
  • The calendar view makes it easy to spot conflicts and gaps across the whole book of client work.

Document requests that tell clients exactly what is needed

Clients see a clear list, can flag anything they do not have, and are notified when a staff member re-requests an item.

  • Each request item names the document, why it is needed, and what format to use, so a client is never guessing.
  • A client can mark any item as 'I do not have this' to clear it from the chase without leaving it open forever.
  • When a staff member re-requests a document, the client receives a notification immediately so nothing is silently re-opened.
  • Uploads go through an in-app secure channel and are matched to the right request item on the staff side.

AI-suggested categories, confirmed by a human before they apply

The model proposes a category for each transaction; a staff member reviews and confirms before anything is written to the books.

  • After a bank sync, the AI suggests a category for each uncategorized transaction based on your rules and the vendor history.
  • Suggestions land in a review queue; nothing is applied until a staff member confirms, edits, or rejects each one.
  • Confirmed categories train a reusable rule so the same vendor is right on the next sync without another review step.
  • Low-confidence items are flagged clearly, and any item can be sent to the client for clarification.

Fixes & improvements

  • Re-requesting a document now notifies the client immediately rather than waiting for the next scheduled follow-up.
  • The agents view correctly groups completed activity by date so older entries do not clutter the top of the list.
  • Deadline calendar entries confirmed from the agents view now persist across sessions.
